Volunteer at Encounter Weekend

We believe that God wants to encounter each and every person in a new and incredible way; and that it is these encounters that change lives. We are extremely excited as a youth group & youth event to be a part of what God is doing in Edmonton... but none of this would be possible without the help of amazing people such as yourself!

We are looking for volunteers who would be willing to help with hospitality, food prep & serving, setup and cleanup as well as running games & activites throughout the event. All volunteers are expected to join us Friday, March 1st at 4:30pm for training, and to participate in the entire weekend.

If you are interested in participating, please fill out the form located below.

Sponsor EW19

Encounter Weekend would not be a success without the monetary support of all the amazing businesses and colleges across Alberta. If you are a business or an educational institution who shares our passion in seeing youth encounter God in incredible ways and are willing to support us financially in any way, please fill out the form located below. Thank you for your contribution!

Our Sponsors

We are incredibly grateful for all the sponsorship we have already received for Encounter Weekend 2019! These phenomenal schools & organizations are what make this entire event possible. For more information about one of these sponsors, we encourage you all to visit their booths in the foyer during the event, or to check them out online!

Planning

This page will be updated in the near future as we gather more sponsors and confirm costs with more hotels & bus rental companies.
Hotels & Lodgings
There are a couple options for any group looking to attend Encounter Weekend 2019. While we unfortunately cannot lodge anyone at Gateway, we recommend your group leader look into one of the following options.
#1: Stay At Your Church

This is by far the cheapest option. If your church has a permanent building in Edmonton, we recommend talking to the Sr Pastor or Facilities Manager about the possibility of having your youth group spend Friday & Saturday night sleeping in your building.

#2: Stay At Another Church

If you are coming from a long ways away or staying at your church is not an option, another good way to reduce cost for your group is to contact another church in Edmonton and see if they would be willing to house your youth ministry for cheap/free.

#3: Stay At A Hotel

If neither of the previous options are available to you, we would recommend looking into booking a hotel in North Edmonton. These hotels tend to book up, so it is important that you contact them to book as soon as possible! The average price of hotels near Gateway for two nights is around $150-200 (can fit 4-5 people). For more information on hotels, please visit Booking.com

Busing & Transportation

If your church doesn't have a bus (or that bus is unavailable) but you plan on attending Encounter Weekend, here are some potential options to help keep the cost down.

As a reminder, you will only need a bus to get to the event on Friday, Saturday & Sunday, to get to your hotel/lodging on Friday & Saturday, and to return to your church on Sunday.

#1: Busing Options

Renting a bus can add significant cost to the event, however it is the best option for youth groups with more than 30-40 kids attending. We would recommend contacting a busing company as soon as possible in order to obtain a quote and reserve your bus for the weekend.

Some different potential options:
Alberta North Transport
Bus.com (multiple quotes)
Martin's Bussing

#2: Volunteer Drivers

For youth ministries under the 30-40 mark, we would recommend using Volunteer Drivers to bring your youth to & from the event. While this will cost significantly less than a bus, for your safety we highly recommend you vet your drivers, and contact your churches insurance provider to hear their stipulations about volunteer drivers.
